Dear Graduate Candidate and Guests,

Just a few last-minute notes for the School of MCB Convocation ceremony.

Location: Krannert Center for the Performing Arts, 500 S. Goodwin, Urbana, Illinois.  The ceremony will be held in the Great Hall.

Check-in Time and Location for All Graduates: 7:45 to 8:15 a.m. in the Orchestra Rehearsal Room on the 2nd Level of Krannert Center.  From the parking garage, take the elevator to the 2nd Level and proceed to the Orchestra Room in the middle of the hallway.  Watch for signs directing you to check-in.  We will have tables set up and labeled by degree program and first letter of your last name.  After check-in, you will be directed to line up in either the north or south hallway.  Procession will begin at approximately 8:50 p.m.

Parking: Krannert Center garages are located underneath the building and are accessible from Oregon Street and Illinois Street.  There is also a large University parking lot across the street to the north (off of Illinois St.).  Parking in all University lots is free to the public on weekends and evenings.

If you have a parking problem during the event, Campus Parking can be reached by calling 244-HELP (4357).

Guest Seating: From the parking garage, guests will take the elevator to the 5th floor (Lobby) and then proceed to the Great Hall.   The doors to the theater will open at 8:00 a.m.  All guests including infants must have a ticket to enter the Great Hall. 

Personal Belongings: There is no secure place to leave coats, purses, cameras, cell phones, etc.  Please give these items to your guests to hold. 

Attire: Wear your cap and gown to the ceremony.  Wear the white tassel on the RIGHT.  PhD students will carry their hood over their arms.  MS students will wear their hoods.  See a marshal for assistance in putting it on correctly.  Bronze tablet cords for BS students go on the left shoulder.  We recommend that you wear low heels or flat shoes since the stairs are very shallow and can be awkward to navigate.  You might consider pinning your orange stole to the back of your gown, so that it doesn't slip off when you walk.  Bobby pins will help to keep you cap in place.

Watch Out for the Rails! The stairs into the Great Hall and the stairs leading onto and off of the stage, have hand rails. It is very easy to catch the long sleeve of your gown on the rail causing you to trip.  Please be careful.

Diploma: At the ceremony, you will receive a diploma cover and certificate.  Your official diploma will be mailed to your permanent address the end of June.  Please update your permanent address in the U of I Enterprise system at https://apps.uillinois.edu/.

Receiving Your Diploma Cover:

PhD Candidates:

When the marshal indicates, you will stand and move to the podium at stage right.  Hand your reader card to the marshal at the podium.  When your name is announced proceed to center stage (walk in front of the podium) where you will meet your hooder and give him/her your hood.  You should face the audience to be hooded and, if necessary, bend down or remove your cap. You will then turn to shake hands/hug your hooder.  I strongly recommend practicing this with your hooder before getting on stage.  The photographer will take a picture of this moment. To get an idea of how it goes, you can check out the convocation video from last year: https://mediaspace.illinois.edu/media/1_tf9a1vsr.  The hooding ceremony is somewhere around the 30-minute mark. Continue to across the stage and pause for a picture in front of the LAS Banner before returning your seat. 

MS and BS Candidates seated on Stage (all distinction, MCB honors concentration and Biochemistry BS):

When the marshal indicates, you will stand and move to the podium at stage right.  Hand your reader card to the marshal at the podium.  When your name is announced proceed to center stage (walk in front of the podium) to shake hands with Associate Dean Cáceres and receive your diploma cover. The photographer will take a picture of you receiving your diploma cover. Continue to across the stage and pause for a picture in front of the LAS Banner before returning your seat. 

BS Candidates in the Audience (MCB BS, non-distinction graduates):

When the marshal so indicates, you will stand and move to the stairs at the left of the stage.  Approach the podium and hand your reader card to the marshal.  When your name is announced proceed to center stage (walk in front of the podium) to shake hands with Associate Dean Cáceres and receive your diploma cover. The photographer will take a picture of you receiving your diploma cover. Continue across the stage and pause for a picture in front of the LAS Banner before exiting the stage and returning your seat.

Photographs: GradImagesTM will be photographing all graduates at the ceremony.  Three pictures will be taken: one as you approach the podium, one as you receive your diploma cover (or are being hooded for PhD students) and one posed in front of a backdrop with your diploma cover. 

Graduates will receive proofs via email or mail, if you agreed to provide that information to the photographer.  All purchases are optional.

Singing of the Alma Mater: At the closing of the ceremony you will be asked to join in the singing of the Alma Mater, Hail to the Orange.  The lyrics will be printed in your program.

Recession: Following the singing of the Alma Mater the faculty will lead the recession out of the hall. Please remain standing at your seat until a marshal indicates that your row can leave.  Please continue walking until you have reached the lobby.  Do not stop to look for friends or family during the recession as this will create a traffic jam.  You should have a plan for meeting your family and friends in the lobby after the ceremony.

Reception: We hope you will join us for an informal reception with drinks and hors de' oeuvres in the lobby immediately following the ceremony.  No tickets are necessary for the reception.

Returning Regalia: Herff Jones representatives will accept rented academic attire at the ARC, Gym 1, at the following times:

Date Time
Sunday, May 14 10 a.m. to 10 p.m.
Monday, May 15 9 a.m. to 5 p.m.

 

Graduates who do not return their rented attire by 5 p.m. on Monday, May 15, are responsible for returning the attire to the Illini Union Bookstore on Tuesday, May 16, through Friday, May 19, between 9 a.m. and 4 p.m.

Please note that Herff Jones will assess a late charge of $5 per day to all graduates returning rented attire to the Illini Union Bookstore after May 15.
