FROM THE PRESIDENT

It’s finally getting warm! May is always a great month here on campus as we start to enjoy warmer weather, watch plants and flowers come into bloom, and watch the students enjoy their success at completing another academic year. We also have many members who are able to enjoy completing another academic year as they’re working towards their degrees – congratulations to all of you! Congratulations to Andréa Fain, who is receiving her Master’s Degree in Education Policy, Organization & Leadership in Higher Education in the College of Education here on campus.

Congratulations to Jim McGraw, the 2018 Office Professional of the Year (OPTY)!  And, congratulations to all of the nominees as well! It is an honor when our bosses take the time to make an effort to recognize our hard work. Truly a sign of appreciation. The OPTY Committee deserves a big shout out, as well, for doing an outstanding job with the program. This is a rewarding committee to serve on, but there is a lot of work behind the scenes to make it so successful. Thank you: Anne Price, Colleen Hammel, Erica Hanson, and Teresa Harvey for your hard work!

You will see information below on our biggest fundraiser of the year – the annual spring flower sale. All proceeds go towards helping The Secretariat support families and individuals in need, as well as, organizations that help support those families and individuals. The flowers never disappoint, and they will be here in time as a perfect gift for Mother’s Day.

The Annual Business Meeting is on May 16. We will elect our new officers: President-Elect, Treasurer, and Recording Secretary. It is also at this meeting that we will vote on the proposed name change: Illinois Administrative Professionals. In case you missed the announcement that was sent to you via email on April 20, please visit:  http://emails.illinois.edu/newsletter/169634.html for information. Should this vote pass, immediately following will be a vote to change the name of the organization wherever it is referenced within the bylaws. As you can see, this particular meeting is very, very important to every one of us. I hope that you make every effort to attend. Registration details are below.

PARLIAMENTARIAN/BYLAWS COMMITTEE

The Secretariat membership was informed via email on April 20, 2018 of the proposal to change the name of The Secretariat organization to “Illinois Administrative Professionals.”   This proposal will be officially presented to the membership for vote at the annual business meeting on May 16, 2018.   If this vote passes, a vote will immediately be conducted to change all language in the Bylaws referencing “The Secretariat” to “Illinois Administrative Professionals.”  These changes would take effect on July 1, 2018.

The Secretariat Member of the Year
2017-2018

The Secretariat was founded in 1948, bringing its members together from across campus.  Over the years, members have been involved in many aspects of university and community life. Members have served on departmental, college, and university-wide committees; helping to shape and guide various areas of campus life. 

The Secretariat members have worked hard to build The Secretariat into a vibrant organization. They have also worked hard to maintain the integrity of The Secretariat.  Members work hard in our community; volunteering their time to various programs that reach out to others in the community.

The Secretariat Member of the Year Award was created as a way to celebrate the contributions of Secretariat members – to honor a member that has contributed in a significant way to The Secretariat, the University of Illinois and/or the Community.

  • Nominations will come from Secretariat members.
  • Active members are eligible for nomination. Active members are defined as dues-paying members who attend at least six (6) luncheons annually and/or participate in programs offered by the Secretariat.
  • Current elected officers – President, President-Elect, Treasurer and Recording Secretary – are not eligible for nomination.
  • The selection committee will consist of the current elected officers.
  • The winner will be awarded a certificate and a $50.00 cash award.

To nominate a member for this award, please include:

  • A cover sheet with:
    • Name of nominee
    • Campus department, address, e-mail, phone of nominee
    • Name of nominator
    • Campus department, address, e-mail, phone of nominator
  • Nomination letter, to include:
    • Reason for nomination. Include, groups, committees, etc. that the nominee has served on.
    • How this person’s work has improved or helped The Secretariat, the University and/or the Community
    • Statements by others, clippings of news, listing of awards may also be included.
    • Do not include nominee’s name in this letter. Please use an alias.

Nominations are due by: close of business on Friday, June 1, 2018

NOMINATIONS & ELECTION 

Erica Hanson – Human Resources Associate                    President-Elect (Unopposed)

Erica Hanson, Human Resources Associate, has been with the University of Illinois since February 2002, and with the Office of the Vice Chancellor for Research since March 2017.  She devotes her time and energy to ensuring staff needs are met, working on complex and delicate issues to promote the success of every staff member.  Among her many responsibilities are participating in employee relations matters, facilitating open employee communications and assistance with the investigation of employee complaints or concerns. Erica resides in Champaign, Illinois, with her husband, Chris, and her son, Hunter.  Daughter Shelby and son Austin reside in the southern U.S. leading to many road trips each year.  She also has five gorgeous grandchildren.  She enjoys music (especially Pink Floyd, jazz, blues, and classical), fishing for trophy pike and walleye in Canada, barbecues with friends, and the works of Wallace Nutting, Aldous Huxley, and Edvard Munch.

Colleen Hammel – Office Manager                                            Recording Secretary

Colleen has been employed at the University of Illinois since February 1998, and has been in the College of Media Office of Advancement, assisting the Associate Dean for Advancement, since July 2015.  She also serves as their Convocation Coordinator.  She joined The Secretariat in 2001, and regularly attends the monthly meetings. She received the Office Professional of the Year Award in 2012.  She has been a member of the Executive Board, as Chair of the Office Professional of the Year Award committee and the Boss of the Year Award committee, also serving as a member of those committees for several years, as well as the Scholarship committee.  Outside of work, as a member of the University of Illinois Oratorio Society, Colleen enjoys singing in conjunction with orchestras. 

Teresa Harvey – Human Resource Officer                              Recording Secretary

Teresa began her career at the University of Illinois in 1996 as an Office Assistant in extra-help.  In 1997 she became permanent as a Secretary II in Residential Life, Housing.  In 2001, she was promoted to Secretary III and began working in Extension & Outreach in the College of ACES.  During her time in this position, she was introduced to The Secretariat and began attending luncheons.  In 2005, Teresa’s position was eliminated and she moved to the Department of Crop Sciences.  A month later, she was promoted to Office Support Specialist, and moved to Admissions and Processing.  Teresa worked in this department for seven years.  In 2012, she transferred to the Office of the Provost and began working with Associate Provost Elyne Cole as a Human Resource Officer.  Not long after, Teresa joined Secretariat and became more involved.  She is currently on the Boss of the Year and Office Professional of the Year committee.

James McGraw- Administrative Aide                                 Treasurer (Unopposed)

James McGraw is lab manager for Professor Rohit Bhargava’s Chemical Imaging and Science Lab at Beckman Institute.  Jim began his career at UIUC in 2013, as an Account Tech I, in the School of Integrative Biology Business Office.  He joined the Bhargava group in September 2016 as an Account Technician II. In 2017, Jim was promoted to Administrative Aide. He served as Chair for Nominations/Elections during 2015-2016 and 2016-2017, and currently co-chairs for Philanthropy committee. He is a committee member on both OPTY and BOTY. Jim was a nominee for the 2017 Office Professional of the Year and was awarded The Secretariat 2017 Member of the Year award. Outside of work, Jim enjoys riding his Harley Davidson motorcycle, plays league billiards, and his three grandchildren.

Twenty-sixth Office Professional of the Year Award

CONGRATULATIONS TO James McGraw for receiving the 2018 Office Professional of the Year Award from the Secretariat at the University of Illinois. James is an Administrative Aide for the Beckman Institute for Advanced Science and Technology and was nominated by Professor Rohit Bhargava.

This year’s committee, consisting of Colleen Hammel, Erica Hanson, Teresa Harvey, and chaired by Anne Price, had the daunting task of selecting the twenty-sixth recipient of this prestigious award from the nine very strong nominations submitted.

70th Anniversary Celebration Planning Committee Report

The Secretariat organization will have been in existence for 70 years this October 2018!  A 70th Anniversary Celebration Planning Committee has been formed to plan a special recognition event for this occasion.  This celebration is being planned for the fall.  There is no current budget for special celebratory occasions such as this. The committee discussed fundraising ideas, and welcome ideas from the membership.

PHILANTHROPY

Annual Spring Sale

The Secretariat 2018 Spring Flower Sale is in full bloom. All proceeds will be used to help families in need and organizations in our area. In 2017 with your contributions we were able to donate to the Phoenix Drop-in Center, UIUC Thanksgiving baskets, and adopt-a-campus family of six.  Please note, this is the largest fundraiser of the year.

With the warmer weather, we are thinking flowers! You or a loved one enjoy the plants and the proceeds from your purchase will help a family and organization in need this year. Plants are in 10” and 12” hanging baskets or stock pots. Our vendor again will be Danville Gardens. Flowers will arrive in time for Mother’s Day.

BONUS: For every two plants you purchase, your name will go in to a drawing for one free 10” hanging basket to the lucky winner!
